Real Time Alerts: Improve Your Data Quality

Why Real Time Alerts?

In any clinical study, data quality largely depends on the quality of data entry.

A value error, an inconsistency between several variables, or an unusual piece of information can have a significant impact on analyses and create additional monitoring work.


Until now, EasyMedStat already offered a range-check system to flag certain obvious errors, for example preventing the entry of a patient height above an allowed value.



With Real Time Alerts, we're taking this much further.

Smart, Fully Customizable Controls

Real Time Alerts let you define rules tailored to each protocol and each form.


Controls can be based on:

  • a single variable
  • several variables at once
  • complex conditional criteria
  • calculations or comparisons between data points



For example:

  • confirm with the user that an unusually high blood pressure reading is correct
  • trigger an alert if the patient's age is inconsistent with other information in the record
  • check smoking-related data based on age, number of years smoking, and number of packs consumed

Three Levels of Severity

Each alert can be assigned a severity level.


Information: A simple informational message to guide the user.

Warning: A potential inconsistency is detected. The user is prompted to check the data before continuing.

Error: A significant anomaly is identified and requires a corrective action before validation.

Alerts are clearly identifiable through a color code that matches their severity level.

Discreet Alerts or Blocking Actions

Not every situation calls for the same level of intervention.


EasyMedStat now lets you choose between:

  • discreet notifications built into the form
  • visible but non-blocking alerts
  • pop-up windows that require a user action before continuing


For critical situations, the pop-up can interrupt the process to make sure a check is actually carried out. An option also lets you automatically clear a value flagged as incorrect, forcing a new entry.

Fully Customizable Messages

Every alert message can be adapted to the context of the study.


Form designers can:

  • customize the displayed text
  • use bold, italics, or lists
  • dynamically insert variables from the record


For example: "The patient is 87 years old. Please check that the entered value is correct."

This level of customization significantly improves how alerts are understood and reduces the risk of error.

Email Notifications

In addition to the alerts shown in the form, automatic emails can be configured to send whenever certain rules are triggered.

Monitoring or coordination teams can then be notified immediately of events that need special attention.

Full Traceability in the Audit Trail

Like every action performed in EasyMedStat, Real Time Alerts are fully tracked.


The audit trail records:

  • the values entered
  • the alerts triggered
  • the messages displayed
  • the actions taken by the user
  • the corrections made


The entire sequence is kept on record to guarantee full traceability of the data and the checks performed.
